For me DayScheduler is all about saving time while providing better service to my audience.

I support twelve member sales team who support hundreds of customers each.

As a subject matter expert I present new industry trends, concepts, ideas and explain how they can provide value by implementing them with the services my company can provide. I get to visit some of the largest companies in North America, and have great talks with incredibly smart people about the not-so-far future.

I am what it called a road-warrior. I am on a plane every week to see customers or present at events. I am typically booked a month ahead visiting two or three different cities per week. As with everything, sometimes schedules change, and they have to be re-arranged. To some it is a crazy schedule, but to me it is just what I do.

I needed a way to keep my schedule

  1. up-to-date so my customers can quickly view my availability
  2. open for folks to request an available day
  3. available from anywhere / anytime

I found DayScheduler.com while looking for a solutions via Google Search. After using it for the last 6 months, I can, without a doubt, say that it has saved me not only time, but has improved the relationship with my customers.

In the past used to receive emails asking if I had this or that day available for a customer visit. After they send those days to the customer, they came back with different days and the back and forth continued multiple times.

Now I just point them to my own DayScheduler.com URL and they simply look at my availability and request a day that is convenient for everyone. DayScheduler send a request to my outlook calendar, and I accept it.

I do block days that I have personal activities as well as holidays, vacations and such. Even my own family has requested days they need me at home.

Usually when you think of a calendar, people associate it to their personal schedules. What am I going to be doing do on that day kind of thought!
enter image description here The thing is, people’s schedule is not the only thing that calendars are used for.

Let’s look at some other use cases:

  • A vacation property that you share with your friends and family. It is not an AirB&B, but it is used year-round.
  • An expensive piece of equipment that is shared by its different construction crews.
  • A shared car among friends that live in the city
  • A large zoom lens used by the photographers students
  • A small recording studio you share with your fellow musicians.
  • The conference room with the big whiteboard in your office

With any of the use cases above mentioned, there is a person in charge of receiving request, checking availability, communicating and negotiating the booking.

Managing a schedule can be time consuming for anyone. Even at a daily level, the back-and-forth negotiation of the requests can take a lot of effort.

There are several commercial calendar and booking systems out there ranging from reservation systems to online calendars. Many of them contain features to monetize the process and have complex workflows which can be difficult to setup and manage.
DayScheduler was designed to be simple and quickly provide the user a month-at-a glace of the resource schedule, and then make it easy to view available days, and request them.

Public Calendar View Options

There are 3 different modes:

  • Open
  • Blocked
  • Private
  • Password Protected

You can choose the way your public calendar view settings display by going into settings and selecting your Privacy from the pull-down:

Open View Mode

In this view, everyone visiting the site can view the requested location, requester name and the notes.

Blocked View Mode

In this mode view each day that has been requested will be listed as RESERVED. No details will be listed.

Private View Mode

This mode shows only which days are blocked (in grey). Available days show in white. No details are shown.

Password Protected Mode

This is the most restrictive mode. Users that visit the site are prompted to enter a password to view your calendar.

Like most of you know, it travel a bit! :-)

My schedule is always changing and it is a but challenging to manage. Even my wife can't keep track of where I am... So a while back I created a web-app to help me and, my family/friends and customers have visibility over my schedule and have the ability to book available days at anytime. Some people found it useful, and several of them asked me if I would make it available for them to use it.

It is a silly simple web-app, but it has been fun to develop it. Best part of all? It is already helping others save time!

DayScheduler How It Came About

With so many calendar applications, the question often comes up as to why we needed another one. Why is this one different?

After searching a for a while, I could not find a simple, easy to use and inexpensive application that covered my requirements.

I needed to present a calendar to my customers, where they can quickly see my availability, and allowed them to quickly request a day that is convenient to them. The request comes to me via email, and if I accept it, it then adds it to my calendar. I then inform them that I have accepted, and we are confirmed (did not want to do that automatically).

I have been using it for about a year, and it has worked really well for me, and it has been a great time-saver for me and my customers. No more back and forth emails to try to find “a day that works”. I have my travel and daily bookings calendar in an easy to view day format . Even my family can see where I will be and where have I been.

Originally it was my own application, but as others used it, they asked about it, and I started to develop it a bit further. Got the domain, create some branding about it, then create the sales page ( Dayscheduler.com ). As those initial few and brave users started to use it, I got feedback and improved it. (Thank you!)

Side note: The 360-feedback loop has been greatly satisfying. Someone recommends a feature or improvement (or finds a bug), it gets evaluated, and if feasible queue. If not, then goes into parked items, for “disposition”.

As part of the improvement process, I added some administration and back-office management pages, and now we have a web-application that can scale.

We (my father and I) started a Facebook page (and corresponding blog) about a week ago, and started to fill it in with content and a few demo videos, so we can begin to extend the invitation to friends and family.

It is a bit nerve-racking, to put something “out there”, but it is always fun to do this, and really enjoy the process.
